Attaching files

Files can be added to Smartsheet. They can be added to individual rows, or to the sheet as a whole.

Attaching files to individual rows.

1. There is a column on the left of each sheet with a paperclip icon - this is the attachment column. The attachment column cannot be moved or deleted, but can be hidden if you mouse hover or right click it.

Those rows that have a file stored against them display the paperclip icon.

Storing files against a particular row.

2. Hover the mouse over the Attachment column by the row you want to attach a file to.

3. A paperclip icon will appear - click on this icon.

4. Files can be dragged and dropped to attach to the row.

More than one file can be stored against a row.

5. You can also click on the attach button to select and attach files from a variety of sources.

6. Clicking  Link (URL) allows a link to be stored against a row, which is useful for adding an external reference.

Storing files against the whole Sheet

7. To the right hand side of the worksheet grid there is a menu with a paperclip icon.

 

Selecting the paperclip icon brings up a list of all the files stored against the sheet.

8. If you have a large number of files stored in a sheet (the IT Purchases Sheet which I am using to create this content, currently has 684 files attached to it), then you can sort them.

The Sheet Attachment summary shows all files attached to a sheet - those files that have been stored against individual rows, as well as those files that have just been stored in the sheet.

9. Files can be added to the whole sheet by clicking the Attach dropdown menu, and selecting the file source

10. Individual files can be downloaded by selecting the dropdown arrow icon that appears on mouse hover.

11. A secure link to download a file can be emailed to a recipient by selecting the envelope icon under the actions button or the vertical three dot menu icon.

Smartsheet allows files of up to  250MB to be stored and shared with other users that are shared to the Sheet.

12. Multiple files can be selected and either downloaded or shared.
