Making Outlook meetings or appointments Private
By default, your Pickering calendar is open to all for viewing only (not possible to edit events).
This is to promote better awareness of colleague's whereabouts and availability, and work schedules and should also improve efficiency and collaboration between teams.
It is not encouraged to use your Pickering calendar for any private events or appointments.
However, it is possible to make calendar entries private. This is especially useful when organising business meetings that may be of a sensitive or confidential nature.
Follow the steps below to make a meeting or appoint private.
- Click New Appointment or Meeting.
- Enter your Subject title and specify the time and date as usual.
- Enter any notes for the invitees as usual.
- To make the meeting private, you simply need to click the padlock icon in the ribbon bar above next to where it says "Private".
- Depending on how your Outlook is set up, it may need you to change from "Simplified Ribbon" to "Classic Ribbon" if you do not see the padlock icon. This can be found by clicking the down arrow on the far right next to the three dots.
- If you are using Outook for Mac, the Private option will be there by default along the top ribbon and will look similar to the below.
- Now if a colleague views your calendar, either by normal calendar view or by using Scheduling Assistant/Room Finder, it should say "Private appointment" or "Private meeting" and not allow colleagues to click into it for more details. It may also show a padlock icon. This keeps the time blocked out in your calendar, but without specifying any private information.
